Membership-responsibilities

Lending privileges and member responsibilities

Lending privileges and Member Responsibilities The PRC has many items and resources available for loan to members. Please note the following:

For Students:

Students may have up to a maximum of 3 items checked out at any point in time, they be any combination of the materials below:


  • Max.1 kit for a 3 week period.
  • Max. 3 books for a 3 week period.
  • Max. 1 DVD, VHS or CD-ROM for a 1 week period.
  • Items can only be reserved for 24 hours and are available on a first-come, first-served basis.
  • Items can only be renewed once for an additional week.

For Professional Members:

Members may have up to a maximum of 3 items checked out at any point in time, they can check out any combination of the materials below:


  • Max. 3 kits for a 3 week period.
  • Max. 3 books for a 3 week period.
  • Max. 1 DVD, VHS or CD-ROM for a 1 week period.
  • Items can only be reserved for 24 hours and are available on a first-come, first-served basis.
  • Items can only be renewed once for an additional week. 

Each kit contains a list of materials. It is the member’s responsibility to check that all pieces listed are present before the kit is used. Should you find any pieces missing, please notify the library staff of the situation. It is in the members’ best interest to check the kits while on the premises, as once the kit is released, the borrower will be held responsible for any missing pieces.

Return Policy

It is the member’s responsibility to return all resource items by the due date during operating hours. Items must be returned in good working condition and disinfected. Please make sure that all items are dry before returning them.

Late and Overdue Items

Members will be notified, one week past due date, by e-mail or telephone informing them that their item(s) have exceeded the loan period. Fees will be incurred on a daily basis, excluding non-operational days as a result of inclement weather or scheduled closing. Fees are to be paid as soon as possible. Once members have an outstanding amount of $5.00 or more in late fees their membership will be suspended until the fees are paid in full. Upon renewing membership all fines must be accounted for.

Missing, Lost or Damaged Pieces

Members will be notified of any missing or damaged pieces returned. An email will be sent out itemizing the pieces and their condition along with an estimated fee to replace each item. Each member has the right to return the item(s) listed, replace the item, or pay the replacement fee. Please be advised that there is a restocking fee for each item listed to cover the cost of staffing in the replacement processes. Library privileges may be suspended until an agreement of how missing, lost or damaged pieces will be replaced is reached.

Group/Organization Late, Lost, Missing or Damaged Materials

The main contact person identified for group membership will be held accountable for the condition of all materials borrowed.  Both the main contact person and the individual who borrowed the material will receive notices for lost, missing or damaged materials. The individual member will be notified of overdue items and outstanding fees, after one week or when outstanding fines occur the main contact person for the group will be notified and copied on all further contact with the member to collect materials/fines etc. Group membership may be suspended if an agreement of how missing, lost or damaged pieces cannot be reached.

Renewal of Membership

Membership to the PRC is on an annual basis and must be renewed on or before your anniversary date in order to continue the benefits of membership. At the point of renewal, all outstanding fees must be resolved before membership can be renewed.

Barcode Key Tag Replacement

It is the member’s responsibility to keep their key tag in good condition. If your card is lost or damaged causing a need for replacement, please advise library staff. There is a $5.00 fee for replacement cards. You can still take out items without your membership card. In this case you must provide another form of personal I.D.

Information Change

Members should be advised that membership is non-transferable and for personal use only. If you change your name legally (through marriage etc.), address, phone number, or email address during your membership simply advise us at your next visit to the Centre and we will update your information in our files and computer.

Transferring Membership – Available to group memberships only*.

Group and organizations can transfer a membership when an employee leaves the group, to the new member at no cost throughout the year.  Group memberships stay with the group, not the person, allowing your centre to grow and adapt. Members can also be added to your group (if you grow) at any point in time and fees will be prorated for each additional membership added.

Visiting the Resource Centre

The Professional Resource Centre is a place where professionals can gather to work, continue research, or pursue new ideas. We ask that when using the PRC members are aware of voice tone that others may find disruptive, that materials are used with care, and working space is returned to the original state in which it was found. Any behaviour that is determined to be inappropriate or disruptive will be addressed. If the behaviour or actions continue, the members involved may be asked to leave. Members are required to have their membership card present at all times when in the Library or Work area of the PRC. Items cannot be checked out of the PRC without a valid membership card – or proof of personal ID.  

Computer Use

There is a computer work station available that includes the following programs: Internet access, MS office, the Science of ECD and Boardmaker. The Professional Resource Centre offers training to use the Science of ECD and Boardmaker periodically throughout the year. Members of the Professional Resource Centre may use this station and its programs free of charge. There are additional printing costs if a member wishes to print their work.

Equipment Use

The equipment in the PRC is for member use only. Staff are available to show members how to operate the equipment and members are encouraged to ask for assistance if unsure about handling the tools available. There is a nominal fee for the laminator, photocopier, photo printer and binding materials. For a full list of fees please see the Purchase Order form.

Children in the PRC

The PRC environment has been designed for adults and is therefore not safe for children. Any child entering the PRC must be within an arm’s reach of their accompanying adult while they select or drop off toys. For safety reasons no children will be permitted inside the equipment zone. Any member visiting the Centre with children will not be able to use the equipment.

Loss of Membership

If at any point in time during the course of membership, the PRC feels that a member is not complying with the policies and procedures of membership, their membership may be suspended or revoked. Behaviour that may lead to such a result include (but are not limited to) unprofessional conduct, abuse of resources, misuse of equipment or outstanding fees.
